Kohl Digital · Company Brain
AI is only as good as what it knows about your company.
Kohl Digital builds the company brain: one governed, current source of what is true in your business. Your people and your AI agents answer from evidence, with the source shown, inside your security rules.
The Leverage Diagnostic takes about 6 minutes. No call required.
7,519
records structured into one governed knowledge system for a client.
0 errors
on a 370-question QA suite of real questions with known answers, before launch.
50%+
of customer questions now answered by AI, with the rest routed to the right person.
The problem
Your knowledge is everywhere, so your AI guesses.
Search finds documents. It cannot tell you what is true now.
Three files give three prices. A policy changed last month, but the old version still ranks first. People spend hours deciding which answer to trust.
Agents without context are confidently wrong.
An agent that sees part of the picture makes mistakes that sound right. After the third one, your team stops using it, and the investment stalls.
Your best answers live in a few people's heads.
Every hard question routes to the same senior people. When they are busy, work waits. When they leave, the knowledge leaves with them.
How we build it
Six steps from scattered documents to answers you can trust.
01
Start with the questions
We collect the real questions one workflow has to answer, from tickets, inboxes, calls and the people who answer them today. They become the target and, later, the test.
02
Connect the sources
Policies, procedures, product and pricing data, CRM records, past answers and documents. Each source keeps its own access rules from the start.
03
Turn documents into facts
Content is broken into specific facts. Each one carries its source, owner and date, so every answer can show where it came from.
04
Separate current truth from history
When sources disagree, the newer and more authoritative one wins, and the conflicts the system cannot settle are flagged for a person to decide.
05
Govern what agents read and learn
People and agents see only what their role allows. Corrections from your experts are captured, then approved before they become guidance.
06
Prove it, then launch with humans first
The system must pass a test suite of known answers before launch and after every change. On day one, every AI answer is reviewed by a person.
Built to fail safely
Engineered like a system that cannot fail.
Mike Kohl built message-switching software serving the FBI, the DOJ and state law enforcement agencies. The rule from that work still applies: assume every part will fail, and decide in advance what happens when it does.
- Test suite on known answers
- Real questions with verified answers, including the hard cases: changed policies, ambiguous names, conflicting sources.
- Three layers of escalation
- When the system is unsure, the question routes to the right person with the context attached and the reason it came to them.
- Guardrails in code
- Rules that must hold every time, like what may be said to a customer, are enforced by deterministic checks on every output.
- Full audit trail
- Every question, answer, source and correction is logged, for your security team, your auditors and continuous improvement.
- Inside your guardrails
- Built in your accounts, with your approved vendors and access controls. Your company's memory stays where your security team can see it.
- You own it
- Code, data, prompts and documentation live in your accounts. No lock-in.
What it powers
Build it once. Every team and agent reads from it.
Client Care
Answer customer and member questions with sources, and route the rest to the right person.
Revenue Engine
Give sales and account teams the current pricing, terms and renewal history behind every conversation.
Operations Flow
Answer policy and procedure questions for finance, HR and legal, and prefill approvals from the source documents.
Onboarding
Bring new employees and new customers up to speed from one trusted source.
Build Capacity
Give engineering and IT the decisions, systems and ownership history they would otherwise ask around for.
AI Visibility
A company that knows what is true about itself can publish it clearly, so AI assistants describe it accurately.
The method behind it is in The AI Leverage Blueprint, Move 3.
Company brain questions
What is a company brain?
+
A company brain is one governed, current source of what is true about a business: its customers, products, people, policies and decisions. People and AI agents read from it, and approved corrections flow back into it. Kohl Digital, led by Mike Kohl, designs and builds company brains for mid-market and enterprise companies.
How is this different from enterprise search or a chatbot on our documents?
+
Search returns documents and leaves people to decide which one is right. A company brain stores facts with their source, owner and date, knows which version is current, flags conflicts, and enforces who may see what. That is what lets an agent act on an answer instead of just retrieving it.
Do we have to capture all our knowledge first?
+
No. We start with the knowledge one workflow needs, usually the one with the most repeated questions. The first system sets the structure, and every system after it adds to the same brain.
Does every new document automatically become an answer?
+
No. New sources are added as evidence. Guidance that agents act on is approved by a person with the authority to approve it, and every change is logged.
Where does our data live?
+
In your accounts, inside your security rules and approved vendors. We sign NDAs before any data is shared, and access controls follow your existing roles.
How do we know it works?
+
Before launch, the system has to pass a test suite of real questions with known answers. After launch, we measure the business number agreed with your finance team at the start, such as questions resolved without staff, time to answer or cost to serve.
How long does the first system take?
+
The 30-Day Leverage Pilot ends with one workflow live and in use, humans reviewing every answer, and the evidence you need to continue or stop.
Bring the one workflow that keeps asking the same questions.
